kippy

quick set
Intro

The following guide will show you how to use the Quick Set screen.

The Quick Set pop up can be used to:

1) Import via copy and paste your existing data into kippy
2) View all KPI information for the selected team
3) Edit any of the team's KPI information in one go
4) Add additional KPIs to the team
5) Export your team's KPIs to Excel
1) Import

To import your existing data into the Quick Set grid, you will first have to get your data into the right format in Excel. Then you can right-click on the Quick Set grid and Paste your data in to the grid. For more details, you can watch the video example here and/or follow the instructions below.

The Quick Set Template below shows the order the columns need to be pasted in. Most of the column names should be intuitive or you can complete the courses in the learning centre to understand more. However, some key points for import are listed below:

a) Approved should be TRUE if you want the approved checkbox to be ticked once pasted in
b) The Perspective must match an existing kippy Perspective
c) The Parent Team Objective for the Level 1 team must be left as empty. If importing for other levels, the Parent Team Objective must match the name of an objective at the higher level and the perspectives must match.
d) If the Objective name does not exactly match an existing Objective for this Team, than a new Objective will be automatically created. Otherwise, the KPI will be added to the existing Objective.
e) The other columns should be intuitive. If a required column is missing or does not match a permitted drop-down value, that will be apparent once pasted in.

Fill the template with as many rows as you need with your existing data and paste the selected cells on to the right place on the grid.
Manually check the pasted data and look out for any validation errors.

Note, if you get the paste wrong, just Cancel the Quick Set popup and try again. If you Save and get it so wrong you want to start again, you also have the options to Clear the team using Tools | Settings | Teams | Clear Team (with Clear Objectives).

2) View

The grid shows you all the KPIs for the selected Team.
Just like Excel, you can also navigate around the grid using your keyboard arrows and shift-select multiple cells to copy and paste.

Note, the grid will not show you any KPIs that are Inactive for the selected Reporting Year.

3) Edit

The Quick Set screen is primarily intended to be used for initial set up of screens.

Once you have pasted in your initial set of data from your current Excel sources, you can tweak that information in the grid and Save it. However, note that every cell in the grid will be saved and this will reflect in the audit record and potentially overwrite any concurrent changes. Therefore, it is advised to Edit individual KPIs using the Maintain screen after the initial setup has been completed.

FYI You can turn off the Quick Set option in Tools | Settings | Setup | Set up mode | Show quickset up for managers | Off.

4) Add

Additional KPIs can be added directly to the grid using the Add button to generate another row. However, it is recommended to use the Maintain screen to add new KPIs.

5) Export

The information from the grid can be exported to Excel by clicking on the grid, doing a right-click on the grid and selecting Save As. This will download the data as a CSV file that you can then edit locally in Excel and paste back in as above.

6) Delete
Please note, you can right-click and delete rows from the grid but this will not delete but this will NOT delete any saved KPIs. It should only be used to remove any new unsaved rows that you have added by mistake.

To delete saved KPIs, go to Tools | Settings | KPI | Delete KPI.

Summary

Finally, it is worth noting that the Quick Set is a powerful feature and so requires at least some familiarity with the KPI concepts. As such, it may be worth completing the courses and using the Maintain screens to gain confidence in updating data one KPI at a time.

Also, it is usually a good idea to use a separate kippy free trial instance to test your imports and get your local data right before pasting into your live kippy instance.

Alternatively, get in touch with kippy support and we can give you some options for uploading your existing data for you.
